Everything you need to create on-brand email signatures that render correctly in Outlook, Gmail and Apple Mail — and roll them out across your team.

Getting started

MySignStack turns your details into a polished, email-safe signature in a couple of minutes.

  1. Create a workspace. Sign up with your company name, email and a password. You become the workspace admin.
  2. Fill in your details. In the editor, type your name, title, contact details and links. The live preview updates as you go.
  3. Pick a brand and template. Choose a layout and the brand it should use (colours, logo, disclaimer).
  4. Install it. Click Copy signature or Download .htm and follow the steps for your email app.

The editor

The editor is split in two: the fields on the left, and a live preview on the right that shows exactly what recipients will see.

  • Template — the overall layout (see Templates below).
  • Brand — which brand’s colours, logo and disclaimer to use. Change brands and the whole signature re-styles instantly.
  • Fields— grouped into Contact, Social links, Photo & logo, Call to action, Promo banner and QR. Empty fields simply don’t appear in the signature.
  • Copy signature copies the formatted signature to your clipboard; Download .htm gives you a file Outlook can import.

Templates

Three layouts ship with MySignStack — switch anytime; your details carry over.

  • Classic Horizontal — headshot, an accent divider, and a contact column. The reliable all-rounder.
  • Vertical — a single stacked column with an accent top-border. Reads well on mobile.
  • Compact — a minimal one-liner with a left accent bar, for people who like it tight.

Brands

A brand is a reusable look — logo, accent colour, website, disclaimer and an optional default banner. Set it once and every signature on that brand inherits it. Admins manage brands under Brands in the top bar.

  • Accent colour styles links, the divider, the company name and buttons.
  • Logo appears at the bottom of signatures on that brand — unless a person sets their own.
  • Disclaimer is a small legal line under the signature.
  • Default banner — set a campaign banner once and it shows for the whole team (each person can override it).

Photos & logos

On any image field you can paste an image URL or click Upload. Uploaded images are hosted on a public URL, which is essential — email apps (especially Outlook) can’t display images embedded directly in the message.

  • Headshot — a square image works best; it’s shown as a circle.
  • Logo — a transparent PNG on a light background looks cleanest.
  • Formats: PNG, JPG, GIF or WebP, up to 2 MB.

Promo banners & GIFs

Add a promotional banner — an image or animated GIF — under the signature to advertise a product, event or call to action. Add a banner link to make it clickable.

  • Set a banner per person in the editor, or a default for a whole brand under Brands.
  • GIFs animate in Gmail, Apple Mail and mobile. Desktop Outlook shows only the first frame — a limitation of every signature tool — so design banners whose first frame works on its own.

Social icons

Add your LinkedIn, X, Facebook, Instagram or YouTube URLs and a row of small icon buttons appears in the signature. Leave a field blank and that icon is hidden. Icons are drawn as coloured cells so they render reliably everywhere — no broken image icons.

Scan-to-save QR

Add a QR code that, when scanned, saves your full contact card (name, title, company, phone, email, website) to the scanner’s phone. In the editor’s Scan-to-save QR field, click Generate scan-to-save QR and it’s built from your details.

QR codes are powered by QR Stack. If you don’t see the Generate button, QR isn’t enabled on your instance yet — an admin can turn it on.

Saving signatures

Name a signature and click Save new to keep it. Open My signatures to load, rename or delete saved signatures, or start a fresh one. Handy when you keep several — e.g. one per brand or campaign.

Installing your signature

Click Copy signature (or Download .htm for Outlook desktop), then follow the steps for your email app.

Outlook — Windows desktop

  1. Click Download .htm in MySignStack.
  2. In Outlook: File → Options → Mail → Signatures.
  3. Create a new signature, then either paste it in, or place the downloaded .htm file into %APPDATA%\Microsoft\Signatures and pick it from the list.
  4. Set it as your default for new emails and replies.

Outlook on the web / new Outlook

  1. Click Copy signature in MySignStack.
  2. In Outlook: Settings → Mail → Compose and reply.
  3. Paste into the signature box and save.

Gmail

  1. Click Copy signature in MySignStack.
  2. In Gmail: Settings (gear) → See all settings → General → Signature.
  3. Create a signature, paste it in, choose it for new emails and replies, then Save changes at the bottom.

Apple Mail

  1. Click Copy signature in MySignStack.
  2. In Mail: Settings → Signatures, create a new one.
  3. Uncheck “Always match my default message font” first, then paste.
Tip: send yourself a test email after installing to confirm it looks right — ideally to an Outlook account, since it’s the strictest.

Team & invites

Admins manage the team under Team in the top bar. Invite teammates by email — they receive a link to set their own name and password, then land straight in the editor.

  • Roles: Admins manage the team, brands and billing; members create their own signatures.
  • If email isn’t configured, the invite still generates a shareable link you can send manually.
  • You can change a teammate’s role or remove them anytime (you can’t remove yourself or the last admin).

Account & password

Open Account in the top bar to update your name, job title and phone, or to change your password (you’ll confirm your current one first).

Plans & billing

Admins manage plans under Billing in the top bar.

Troubleshooting

My signature looks different in Outlook

Outlook (Windows) renders email with Microsoft Word’s engine, which ignores a lot of modern styling. MySignStack is built specifically for this, so stick to the provided templates and it will render reliably. Always test with an Outlook account if you can.

My animated GIF isn’t moving

GIFs animate in Gmail, Apple Mail and mobile, but desktop Outlook shows only the first frame. Design your banner so the first frame stands on its own.

Images aren’t showing

Email images must be hosted at a public URL — use the Upload button (it hosts the file for you) rather than pasting an image copied from another document. Some email apps also block images until the recipient clicks ‘show images’.

I can’t add another brand or teammate

The Free plan includes 1 brand and 3 team members. Upgrade to Pro under Billing for unlimited brands and team members.

I don’t see Team, Brands or Billing

Those are admin-only. Ask a workspace admin, or if it’s your workspace, sign in with the admin account you created at signup.

The QR / tracked-link options are missing

Those are powered by QR Stack and appear only when it’s enabled on your instance. An admin can turn it on.
